Office Manager
We are looking for an organised and proactive office manager/coordinator to join our team, who will work closely with our directors and associates to ensure the smooth running of the office and projects.
The successful candidate will need to have experience in a similar position, ideally in an architectural practice or design studio and will need strong organisation and time-keeping skills.
You will be sole administrator for the company and will be providing support across all aspects of the business including the team, finance and project support.
Duties include, but are not limited to:

Answering inbound enquiries via phone and managing the office email account

Welcoming clients and guests to the office, meetings with suppliers and updating the fabric/finishes sample database

Keeping the studio well-stocked and ensuring the general upkeep of the office

Managing stationery and cleaning orders for the office

Finance management – coordinating payments, overseeing budgets, cashflow, issuing invoices, managing the company forecast, processing expenses and working closely with the directors to coordinate HMRC payments, management accounts and monthly payroll alongside our accountants.

Project Support – assisting the team with creating and issuing project documentation, creating tender issue letters, liaising with contractors and compiling reports.

Interior Design Support – ordering and chasing fabrics and finishes from suppliers and coordinating purchases, deliveries and payments.

Point of contact for external consultants, including IT support, building management for the office, insurance and accountants etc.

Liaising with the studio’s third-party insurers, accountants, and legal team when necessary

Coordinating CPDs for the team

Organising and coordinating regular team socials and events
This is a varied and rewarding role, ideal for a candidate who can work to deadlines and has strong interpersonal skills. The candidate will have at least two years’ experience in a similar role with a strong knowledge of MS Office and ideally Adobe suites.
As a relatively small practice, the chosen candidate will be provided with the opportunity to play a key role in the continued growth of the company.
